A solar panel receiving inspection verifies the delivered container, pallet count, packaging condition, module identity and serial records before the shipment is accepted into inventory. The receiving team should photograph conditions before unloading, record exceptions while evidence is still intact, isolate unsafe or damaged items and reconcile the delivery with the packing list and pre-shipment file.

This checklist is for distributors, EPC buyers, warehouses and project teams receiving solar modules after ocean, road or combined transport. It does not diagnose hidden electrical damage from photographs and does not replace carrier rules, insurance requirements, licensed safety procedures or the purchase agreement. Receiving Inspection Starts Where Pre-Shipment Inspection Ends

1. Prepare the Receiving Area Before Arrival

Assign a safe unloading zone, qualified handling equipment, trained operators, weather protection, temporary quarantine space and a person responsible for the evidence file. Confirm whether the cargo can remain in the container if a serious condition is found. The team should know who contacts the carrier, insurer, surveyor or supplier and what claim deadlines apply.

Prepare the expected packing list, container number, seal number, pallet count, module quantity, model and serial list. If the delivery includes several power classes or brands, create separate tally lines. A rushed count after pallets have been moved to several warehouse locations makes discrepancies harder to trace.

2. Record the Container and Seal Before Opening

Photograph the container or vehicle from enough distance to show its identity and overall condition, then capture the doors, locking bars and seal at close range. Compare the seal number with the transport documents. Note broken, replaced or unreadable seals and visible dents, holes, corrosion, wet marks or door distortion before opening.

Do not treat an intact seal as proof that the modules are undamaged. It confirms only one part of shipment control. Conversely, a seal discrepancy needs investigation but does not by itself explain product condition. Keep observations factual and dated.

3. Open the Doors With Cargo Movement in Mind

Pallets or loose materials may have shifted against the doors. Use the site's safe-opening procedure and inspect through the smallest safe opening before standing in the potential fall path. If cargo is leaning, restraints are loose or pressure is visible, stop and escalate according to the handling plan.

4. Photograph the Unloading Sequence and Build a Pallet Map

Take an overview before the first pallet moves and continue at useful intervals. Assign each pallet a receiving identifier and record its original position where practical. Count pallets during unloading instead of relying only on the final warehouse count. Photograph torn cartons, broken straps, crushed corners, displaced protectors, leaning stacks and signs of moisture before repair or re-stacking.

A pallet map connects damage to a location and helps compare receiving evidence with loading photos. It also prevents one damaged pallet from being counted several times in messages from different teams. Record who moved or re-packed the pallet and why.

5. Reconcile Quantity, Labels and Serial Numbers

Compare the physical pallet and carton marks with the packing list. Confirm model, rated power or product class, quantity per package, brand, destination label and any private-label artwork. Scan or photograph a defined serial-number sample across multiple pallets and positions. If the buyer uses barcode receiving, test that the data format matches the inventory system.

Separate shortages, over-delivery, mixed models, unreadable labels and serial mismatches in the exception log. Do not overwrite the supplier's original list; keep the expected file and receiving result as separate records so the difference remains visible.

6. Use a Defined Sample for Visible Product Condition

The receiving plan should state how many packages and modules to open, how samples are selected and which defects require escalation. Select from different pallets and levels rather than only the easiest carton. Check the module glass or active surface, frame, backsheet, junction box, cable, connector and label as applicable to the product.

7. Separate Visible Damage From Technical Diagnosis

Photographs can document broken glass, bent frames, torn packaging, connector damage or moisture signs, but they do not prove the full electrical condition of every module. Do not declare an undamaged-looking module electrically sound or assign the cause of hidden damage without an approved assessment.

If impact, compression or moisture raises concern, quarantine the affected identity range and agree whether flash testing, insulation testing, EL imaging or another assessment is required. 8. Quarantine Exceptions and Preserve Evidence

Mark affected pallets or modules so they are not installed, sold or mixed with accepted stock before disposition. The quarantine record should identify pallet, carton and serial numbers; describe the observed condition without speculation; and show the date, receiver and storage location. Preserve damaged packaging when required for review.

Use both overview and close-up photographs. Include a scale reference where size matters, but do not cover labels or alter the damage. Record any urgent actions taken for safety or weather protection. Notify the relevant parties within the contractual or carrier deadline and keep the sent notice with the evidence file.

9. Build a Claim-Ready Receiving File

A useful file allows someone who was not present to reconstruct the delivery. Keep transport documents, arrival time, container and seal images, unloading sequence, pallet map, quantity reconciliation, label and serial samples, exception photos, quarantine list, notice correspondence and disposition. Maintain original files and avoid compressing away important detail.
